Once registered, you’ll receive a confirmation with hotel reservation instructions. No official event hotel will accept new reservations by phone. The confirmation will also provide details on making changes or cancellations. Please note a cancelled Midwinter registration forfeits your hotel reservation.

We encourage you to register for Midwinter early in order to make hotel reservations early, as the hotel will likely sell out. Official event hotel rooms are in high demand and only available to registered, paid attendees

Cancellation and Other Policies

The Midwinter mobile app and website will reflect your registration-provided information. This includes your name, title and company as it appears in your confirmation letter. Please proof this information carefully for accuracy. If a change is needed, notify Debbie Stewart at

Please be advised that your Midwinter registration fee is non-refundable after March 4, 2022. Refund of the registration fee, minus a $75 processing fee, will be made for any cancellation if received in writing to by March 4, 2022. Because of the firm commitments of conference arrangements, FMI cannot refund the registration fee for any registrations or cancellations received after March 4, 2022. Substitutions can be made any time prior to the start of the conference.

Unauthorized Hotel Solicitation
FMI does not use a third-party company to make hotel reservations or sell rooms on its behalf for this event. If a third-party contacts you offering housing options, they are not endorsed by or affiliated with the event and entering into financial agreements with such companies may have costly consequences.

On-Site Validation and Badge Pick-up

To satisfy FMI’s entry requirement, all attendees and guests will have to complete a validation process to gain access to the Midwinter Conference on-site. 

  • Attendees and guests must present a valid CLEAR Health Pass, which verifies proof of full vaccination or proof of a negative PCR COVID-19 test and health survey at a designated FMI check-in location at the Hyatt Regency Orlando.
  • At an FMI check-in area, attendees and guests will present their valid CLEAR Health Pass for review by FMI staff. If all criteria are met, attendees and guests will be given a conference badge.
  • Once an attendee or guest has received their badge, they are free to participate in all Midwinter Conference activities.

For the most efficient entry possible, every attendee and guest should enroll with CLEAR before the event to complete their COVID-19 pre-screening. Once your vaccination or test record has been uploaded to the platform, it can typically take up to 30 minutes for your status to be verified. We encourage all attendees and guests to complete this process at least 24 hours prior to arriving at the event.

*Please note bulk badge pick up will not be allowed. Each individual must be validated on-site and pick up their own badge. No exceptions will be allowed.

Publishing Professionals

We limit one complimentary pass for every 10,000 circulations/subscribers your food retailing publication has on your BPA statement (up to 30,000 in circulation). Additional personnel requesting to attend must pay a Midwinter registration fee.

Sales, advertising, marketing, public relations, account management, or other non-editorial professions will not be granted press passes.

Video Policy

Video/audio recording of any kind is prohibited onsite without permission from the FMI media department. FMI reserves the right to request documentation regarding credentials.



The Midwinter Executive Conference is invitation-only. Accredited media writing for food retail industry trade journals, magazines or newspapers are eligible to receive a complimentary press pass. To qualify, you must cover the event and hold an editorial title.
