We look forward to seeing you in Denver and have updated safety plan for the FMI 2022 FreshForward event. As the COVID-19 landscape evolves, we remain dedicated to providing the safest and healthiest environment possible for all participants, and we ask for your partnership in that endeavor. FMI has implemented a layered approach to illness prevention and is recommending multiple control measures. Here’s our action plan.

If you are sick, please stay home and don’t travel.

Action Plan

Upon checking in at the registration desk, attendees will be asked to provide either proof of a negative COVID-19 PCR test, administered within 72 hours prior to arrival, or proof of full COVID-19 vaccination to attend the 2022 FMI FreshForward event.

Masks will not be required, but many of our attendees may choose to wear them. Please follow CDC guidelines. If you are at high risk for severe illness, please talk to your health care provider about mask-wearing and other precautions; stay up to date with COVID-19 vaccines; and get tested if you have symptoms.

FMI staff will:

Offer outdoor social events when possible and/or well-ventilated spaces to facilitate social distancing.

We ask that attendees:

Don’t travel if you feel sick or if you’re experiencing symptoms associated with the flu or COVID-19 variants.
Consider getting vaccinated and including a flu shot!
Download the event app prior to arrival for information and any onsite communications.

Our Actions

FMI will require either proof of a negative COVID-19 PCR test, administered within 72 hours prior to arrival, or proof of full COVID-19 vaccination to attend the 2022 FMI Asset Protection and Grocery Resilience event.

To manage this protocol, FMI has partnered with Health Pass by CLEAR, which provides a secure, digital proof of COVID-related health insights via the free CLEAR mobile app. All attendees, visitors and guests must complete FMI’s entry requirements using Health Pass by CLEAR.

For those who choose not to be vaccinated, FMI will also require daily antigen testing provided by an on-site health care provider.

Proof of vaccination will be accepted on-site for our international travelers.

FMI staff will:

Verify the vaccination or test status of all attendees through the Clear App.
Offer antigen tests for on-site screening by a health care provider for anyone wanting a test with or without symptoms. Onsite testing is expected for anyone with symptoms.
Wear face masks and we encourage all attendees to wear face-coverings, in accordance with CDC guidelines. FMI will have a limited supply of 3-layer non-woven face masks and KN-95 for attendees.
Offer color-coded lanyards to communicate your level of comfort in networking settings.
Provide sanitizing and disinfection materials for general attendee use.
Offer physical distance between chairs at meetings and education sessions.
Offer outdoor social events and/or well-ventilated spaces to facilitate social distancing.
Share all health communications on site through the FMI FreshForward app.

Your Actions

Wear a mask indoors and in business meetings that present close-contact situations.
Don’t travel if you feel sick or if you’re experiencing symptoms associated with the flu or COVID-19 variants.
Consider getting vaccinated and including a flu shot!
Download the CLEAR app and upload your proof of vaccination if you’re vaccinated, and if you’re not vaccinated, upload your negative PCR test administered within 72 hours of arrival.
If you have symptoms on site, see the on-site health care provider to be tested, and isolate if symptoms are significant and/or the test is positive.

The Hotel’s Actions

The Embassy Suites by Hilton Denver Downtown Convention Center hotel is committed to promoting a safe environment for our event. Review their safety policy, where you’ll find their increased hygiene and safety protocols and contactless services.

The hotel has ways to minimize contact during food and beverage service and will follow those procedures during our event.

The hotel will increase cleaning and disinfection across high-volume common areas.

Step 1: Download and enroll in CLEAR

Have your vaccination records? Download the CLEAR app, open the app & scroll to the blue "Health Pass: Digital vaccine card" tile.
Tap "Add my vaccination" and tap the "Get started button"
Enroll or verify your identity in CLEAR by creating a member account.
1. New to CLEAR? When prompted, enter your email address, phone number, and have your government issued photo ID ready to complete enrollment.
2. Already a CLEAR member? Use the email address associated with your membership and snap a quick selfie to verify your identity.
Continue to follow prompts on the app to securely confirm your proof of vaccination.
Don't have vaccination records? Follow the same steps 1-4 above to enroll in CLEAR. Then add your negative PCR Covid-19 test (administered within 72 hours of the event) at the appropriate time.

Step 2: 10-Days prior to the event and before arrival.

Open the CLEAR app and tap on the "Create your Health Pass" tile.
Enter the event code, provided by FMI, in the "Have a Code?" field.
Follow prompts on the app to connect your CLEAR account to the FMI FreshForward event.
REMINDER: If you are providing proof of a negative PCR Covid-19 test, the test must be administered within 72 hours prior to the event. Add your negative test result at the appropriate time.

Step 3: Prior to departing for Orlando, complete your Health Pass for faster entry at check-in.

Open the CLEAR app.
Confirm your identity with a quick selfie, then complete health survey.
Tap “Open Health Pass” to get your result. Green means you’re good to go!

On-Site Validation and Badge Pick-up

To satisfy FMI’s entry requirement, all attendees and guests will have to complete a validation process to gain access to the event on-site.

Attendees and guests must present a valid CLEAR Health Pass, which verifies proof of full vaccination or proof of a negative PCR COVID-19 test and health survey at a designated FMI check-in location at the event hotel.
At an FMI check-in area, attendees and guests will present their valid CLEAR Health Pass for review by FMI staff. If all criteria are met, attendees and guests will be given a conference badge.
Once an attendee or guest has received their badge, they are free to participate in all event activities.

For the most efficient entry possible, every attendee and guest should enroll with CLEAR before the event to complete their COVID-19 pre-screening. Once your vaccination or test record has been uploaded to the platform, it can typically take up to 30 minutes for your status to be verified. We encourage all attendees and guests to complete this process at least 24 hours prior to arriving at the event.

*Please note bulk badge pick up will not be allowed. Each individual must be validated on-site and pick up their own badge. No exceptions will be allowed.

Travelers should follow the CDC’s recommendations for traveling safely including:

Wear a mask over your nose and mouth - masks are required on public transportation,
Stay 6 feet/2 meters from others and avoid crowds,
Wash your hands often or use hand sanitizer (with at least 60% alcohol).

Event Policies

Assumption of the Risk and Waiver of Liability Relating to Event Access By Participants

The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact.

As a result, federal, state, and local governments and federal and state health agencies recommend social distancing and have, in many locations, prohibited the congregation of groups of people. Governmental restrictions may change at any time without prior notice. As such, FMI-The Food Industry Association (“FMI”) cannot guarantee eligibility to travel or to participate in the FMI 2022 FreshForward conference (“the Event”) if restrictions change. Additionally, if Event Attendees choose to attend the Event and enter onto the Embassy Suites by Hilton Denver Downtown Convention Center Hotel (“HOTEL”) premises, they may be exposing themselves to and/or increasing your risk of contracting or spreading COVID-19. FMI and its members, officers, officials, directors, instructors, contractors, agents, employees, and any other representative (collectively “Entities”) and the HOTEL will seek to implement preventative measures to reduce the spread of COVID-19 consistent with the guidance and recommendations of public health agencies for slowing the transmission and exposure to COVID-19 which may include, but not be limited to, health questionnaires for all Event participants, sanitation procedures, and physical distancing measures at the HOTEL and during the Event.

By registering and/or agreeing to participate in the Event, you, on your behalf and on behalf of each individual included in your registration and/or travelling with you (“Registrant”), acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that you may be exposed to or infected by COVID-19 by accessing the Event in-person and that such exposure or infection may result in personal injury, illness, permanent disability, and death. As such, you accept the terms of this Assumption of the Risk and Waiver of Liability. Registrants understand that the risk of becoming exposed to or infected by COVID-19 may result from the actions, omissions, or negligence of yourself and others, including, but not limited to, Entities, HOTEL, their respective employees, agents, contractors, volunteers, and other Event participants. Registrants agree to abide by all preventative measures (collectively “Measures”) put in place by FMI, HOTEL, their respective employees, agents, contractors, and volunteers at any time prior to and during the Event. Registrants acknowledge that personal failure to follow these Measures may result in being removed from the Event and all related activities without any refund or reimbursement. Finally, Registrants acknowledge that no promises, representations, or affirmations of fact were made to you concerning the safety or danger associated with traveling to the Event or participating in any activity or interaction related to or associated with the Event.
